Job Description

The Office Manager is the leader and sets the example for each team member of the practice. This position is responsible for the coordination of office routines and procedures, staff management, administrative duties, front office roles/responsibilities, staff development/training, etc. The Office Manager keeps the office organized and running smoothly and exhibits a positive countenance to the team, creating a culture of high values, standards and accountability within the practice. The culture of our practice is our priority in order to create a great working environment for our employees and for our patients. Please know that communication and a positive attitude are the primary criteria for our team members. We have frequent team meetings in order to ensure we keep lines of communication open for each and every member of our team. Your role is essential to the overall success of the practice. You will need to stay diligent in accomplishing your duties daily. We are looking for you to be responsible, accountable and a self-starter. You were carefully selected to assist us in creating a positive impact in the lives of our patients and dental community. As the Office Manager and a contributor in our practice, the essential elements of your role is inclusive of the following: Oversee practice operations on a daily basis Ensure each department is effective in their operations Manage the schedule to ensure productivity and effective timing of procedures Assess and direct the flow of operations throughout the day in order to keep a fluid, on-time schedule Be actively involved in setting production and collection goals with Dr to ensure goals are being met on a daily, monthly, quarterly and yearly basis Actively striving to help the team reach our goals by utilizing the tools at hand and enlisting the team to utilize tools as well Report to the Dr on a weekly basis. Give a brief overview of what you worked on, what your results were, and identify current objectives/needs of the practice Actively strive to inform our team of how to achieve our desired objectives Check-in with team members at least once a quarter (more often for new hires), in order to ensure each department is running effectively, staff is receiving/requesting support as needed, ensure team morale remains high, offer training, set staff development goals and define areas of improvement and opportunities for each team member Be flexible with work days/hours. As an overtime-exempt employee, your position will require you to work 40+ hours per week including normal working days and Fridays Be present at team training, meetings and CE courses throughout the year Hold the staff accountable to performance and cultural standards of the practice Utilize and maintain the practice’s daily and monthly monitors HR related duties including but not limited to: hiring, firing, performance evaluations, write-up’s, time-off requests, scheduling, training, etc Create staff meeting agendas and lead each meeting with successful outcomes Monitor production of each producer Monitor month end reports, discuss outcomes with accountants and practice owners. If the monthly numbers fall short of practice’s goals, recognize why, and implement systems to eliminate future occurrences Be confident, positive and well spoken Exhibit good mannerisms and etiquette Warm, engaging, able to build rapport quickly Anticipate the needs of our staff and patients; respond quickly and positively Be ambitious, creative and enjoy a challenge Motivated to learn and open to personal/professional growth Utilize leadership qualities and behavior with team and patients at all times Be patient, listen and understand the team's needs. Assist them in striving to reach their goals with inspirational leadership while holding them accountable in a great way Set the example for the team in regards to dress code, maintaining a professional appearance, being punctual and dependable. Help to conduct  team meetings, events and promote team cohesiveness with an open and willing attitude Bring value to your team, the practice and the patients Be a leader by inspiring and motivating your team. Help hold them accountable in a proactive way. Avoid gossip and subgrouping, and redirect any issues that do not concern you, back to the parties it involves.
