Front Desk – Hygiene Coordinator
Our busy and growing dental practice is in search of a team player to serve as a Hygiene Coordinator. We require an experienced, self-motivated, multitasker who understands clearly the focus of our business and is interested in working hard to grow our practice.
The Hygiene Coordinator plays a key role in patient retention by handling the outbound calling efforts for supported markets to patients who are due for routine hygiene care. As a Hygiene Coordinator you are responsible for contacting patients and scheduling appointments for checkup exams, routine hygiene care and periodontal services. Additionally, the Hygiene Coordinator works to re-engage patients who have fallen out-of-care. You’ll be an integral part of our team and will help be a part of providing excellent dental care to our valued patients.
Job Type: Full-time, In-Office (Not Remote) • Primary Location: Family Dentistry of West Bloomfield (6400 Farmington Rd, West Bloomfield Township, MI 48322) • Schedule o Monday: 8:00 AM – 5:00 PM o Tuesday: 8:00 AM – 5:00 PM o Wednesday: 8:00 AM – 5:00 PM o Thursday: 8:00 AM – 5:00 PM o Friday: 8:00 AM – 3:00 PM
KPIs / Performance Metrics • Finish calls for all prophy & perio list; Current, last month, 3, 6, 9, 12, 15, 18 mos. • Retention: 80% or higher (Total patients from 8 months ago seen by now/Total patients with an exam from 8 months ago) o For example, if 30 exams were completed in January and only 15 of them had been seen by the end of August, the retention rate would be 50%. • Hygiene appointment cancellations: Less than 15% • Scheduling efficiency: 90-100% full
Required Qualifications • Ability to sit, stand, walk, talk and hear. • Occasionally lift and/or move up to 10 pounds. Perform the essential functions • Possess strong patient service skills including needs assessment and evaluation of patient satisfaction. • Possess strong interpersonal skills, developing constructive and cooperative working relationships with others striving for • collaboration and demonstrating professionalism. • Demonstrate basic computer skills. • Demonstrate ability to perform basic arithmetic. • 2 + years experience in the dental field
Other Desirable Qualifications • Apply a professional code of ethics and values • Excellent working knowledge of dental procedures and terminology • Experience with practice management software, preferably Open Dental • Experience with Microsoft Office software (Word, Excel, PowerPoint, Teams)
Job Responsibilities • Provide quality patient service through effective communication and personal attention, using appropriate communication strategies to resolve patient questions and issues. • Manage the hygiene schedules to achieve utilization goals through efficient use of appointment time. • Utilize various reports and analyze metrics to measure utilization goals through efficient use of appointment time. • Reschedule patients that miss their appointments and call patients due for hygiene appointments. • Answer and return incoming calls from patients needing to schedule hygiene. • Answer telephones in a professional and courteous manner, address patient needs and schedule appointments. • Accurately register new patients and update patient demographics and financial information, as needed. • Adhere to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patients’ records. • Follow and demonstrate commitment to the Dental policies and professional expectations. • Perform other duties as assigned.
