Position Summary
The Office Manager serves as the operational leader of the practice and is responsible for ensuring that daily systems, schedules, and financial performance align with the practice's goals. This role focuses heavily on maximizing chair utilization, minimizing same-day cancellations, improving case acceptance, and overseeing the revenue cycle to support sustainable growth and exceptional patient care.
Primary Responsibilities Schedule & Productivity Management Maintain optimal chair utilization and provider productivity. Minimize same-day cancellations and appointment rescheduling. Ensure daily production goals are achieved. Monitor schedule gaps and proactively fill openings. Review schedules in advance to maximize efficiency. Lead daily morning huddles and coordinate team priorities. Same-Day Treatment & Case Acceptance Promote same-day treatment opportunities. Coach the team on treatment presentation and patient communication. Improve case acceptance and patient retention. Monitor unscheduled treatment reports and implement reactivation strategies. Revenue Cycle Management Oversee insurance claims, collections, and accounts receivable. Ensure timely posting of payments and claim follow-up. Monitor patient balances and collection performance. Maintain healthy cash flow and revenue integrity. Collaborate with billing support to reduce aging accounts. Team Leadership Lead, coach, and develop front office and clinical support staff. Hold team members accountable to established KPIs. Conduct team meetings and provide ongoing feedback. Assist with hiring, onboarding, and performance management. Foster a culture of ownership, teamwork, and continuous improvement. Operational Excellence Develop and improve office systems and workflows. Ensure exceptional patient experience and customer service. Monitor practice metrics and identify opportunities for growth. Maintain compliance with office policies and regulatory requirements. Partner closely with doctors and regional leadership to execute strategic initiatives.
