Job Description

Seeking an experienced, organized, and highly motivated Office Manager to oversee the daily operations of our growing private dental practice. This individual will be responsible for ensuring the practice runs efficiently while delivering an exceptional patient experience. The office manager serves as the leader of the administrative team and works closely with the doctors and clinical staff to achieve the practice's financial, operational, and patient care goals. The ideal candidate is a strong, yet compassionate, leader who can effectively manage people, improve systems, solve problems, and create a positive, team-oriented culture.

Primary Responsibilies Include:

  • Leadership and Team Management

    • Lead, coach, and develop the front office team.
    • Foster a positive, accountable, and patient-focused work environment.
    • Assist with hiring, onboarding, and training new administrative employees
    • Manage scheduling and staffing to ensure efficient daily operations.
  • Practice Operations

    • Oversee the day-to-day operations of the dental practice.
    • Develop and maintain office policies and standard operating procedures.
    • Identify opportunities to improve workflow, efficiency, and patient satisfaction.
    • Coordinate communication between doctors, hygienists, assistants, and administrative staff.
    • Resolve patient concerns professionally and promptly.
  • Financial Management      

    • Monitor daily production, collections, accounts receivable, and key practice metrics.
    • Ensure accurate financial reporting and daily reconciliation procedures.
    • Assist in establishing and monitoring office budgets
    • Work to improve treatment acceptance and collection performance.
    • Oversee insurance claims, billing processes, and financial arrangements.
  • Patient Experience

    • Ensure every patient receives exceptional customer service.
    • Maintain high standards for patient communication and follow-up.
    • Address patient concerns with professionalism and empathy.
    • Promote patient retention and referral growth.
  • Scheduling and Efficiency

    • Maximize provider schedules to optimize productivity.
    • Monitor cancellations, no-shows, and open chair time.
    • Implement systems to maintain productive scheduling, working with the assistants to allow for this.
    • Coordinate recall and unscheduled treatment follow-up.
  • Compliance and Administration

    • Ensure compliance with OSHA, HIPPA, and appliable state regulations.
    • Maintain accurate office records and documentation.
    • Manage office supplies and administrative inventory.
  • Qualifications

    • Previous experience managing a dental practice is strongly preferred.
    • Strong understanding of treatment planning, and patient financing.
    • Excellent leadership and conflict resolution skills.
    • Experience with dental practice management software.
    • Proficient with standard business software.
