Job Description

OBJECTIVE

To implement and manage clinic systems and protocols, monitor key performance statistics, lead staff accountability, and increase new patients, production, and collections while maintaining an organized and professional patient experience.

*1. *NEW PATIENT MARKETING s LEAD MANAGEMENT

· Manage the clinic campaigns and lead system.

· Contact and follow up with new leads multiple times daily.

· Educate prospective patients regarding clinic services and available consultations.

· Schedule new patients promptly and confirm appointments.

· Track leads from initial inquiry through scheduled appointment and arrival.

· Maintain a goal of 10–15 new patients per week.

*2. *NEW PATIENTS & CASE MANAGEMENT

· Assist with and coordinate new-patient consultations with the doctor.

· Ensure an organized patient process.

· Educate patients regarding recommended services and care plans.

· Present approved care plans and financial options.

· Handle common patient questions and objections professionally.

· Coordinate available patient financing options.

· Work to maximize appropriate same-day enrollment and case acceptance.

*3. *MANAGE BY STATISTICS

The Office Manager will track and review clinic statistics weekly.

Identify gaps in performance and develop immediate action plans with the doctor and team.

*4. *CLINIC OPERATIONS s SYSTEMS

· Implement and maintain established clinic protocols, procedures, and systems.

· Manage daily clinic workflow and ensure patients move efficiently through the office.

· Identify and resolve operational issues quickly.

· Maintain a clean, organized, professional, and patient-focused environment.

· Oversee appointment cancellations and no-shows.

· Manage recall and reactivation systems.

· Monitor patient retention and ensure appropriate follow-up.

*5. *STAFF MANAGEMENT s ACCOUNTABILITY

· Conduct daily staff huddles and communicate the goals for the day.

· Assign responsibilities and ensure tasks are completed.

· Train staff on clinic systems, patient communication, and operational procedures.

· Monitor individual and team performance.

· Hold staff accountable to established expectations and statistics.

· Maintain a positive, professional, and results-driven clinic culture.

*6. *PRODUCTION s COLLECTIONS

· Review clinic production and collections regularly.

· Monitor outstanding balances and ensure appropriate follow-up.

· Identify opportunities to improve case acceptance, production, and collections.

· Develop weekly growth plans based on clinic statistics and performance.

· Work closely with the doctor and team to achieve monthly clinic goals.

The Office Manager is responsible for ensuring that marketing, new-patient flow, case management, staff performance, patient retention, production, and collections are consistently monitored and improved.OBJECTIVE
