Billing Dental Front Office
Job Description
Fractional Dental Billing Specialist (Remote, 1099, 5-15 hrs/wk, growing)
Certa Billing — Remote (Eastern time overlap required; New England payer experience strongly preferred) $28-38/hr depending on experience. Starts with a paid ~15-hour audit project.
ABOUT US
Certa Billing runs insurance operations for dental practices — verification, claim scrubbing, posting, follow-up, and appeals — delivered inside the practice's own PMS (Open Dental first). Our software automates the routine work: electronic eligibility, claim checks against verified benefits, posting matched to contracted fees. People do the judgment work. That's where you come in.
We're early: founder-led, first clients onboarding now, deliberately capped at two new practices a month. You'd be our first billing hire — not a cog in a big AR team, but the person whose expertise defines how this company does billing.
WHAT YOU'LL DO
Phase 1 — Paid audit project (~15 hours, first 2-3 weeks):
- Review our automation's outputs and assumptions against how billing actually works — tell us where we're wrong
- Build a payer playbook for the top 10-15 Massachusetts payers (Delta Dental of MA, BCBS, Cigna, MetLife, Guardian, Aetna, etc.): what verifies electronically, what needs a portal, what needs a phone call, common denial patterns
- Red-team our guarantee ('eligibility denials halved in 90 days') — is it winnable, and what makes it winnable?
Phase 2 — Ongoing (ramps with clients, ~3-5 hrs/wk per practice initially):
- Work denials and write appeals, with the chart in front of you — we don't do form-letter appeals
- Handle phone and portal verifications for payers that don't answer electronically
- QA claim batches our software flags before they go out
- Document what you do: every recurring task becomes a written SOP (we pay for documentation time — it's part of the job, not overhead)
- Later: help train and quality-check a VA who takes over the routine work, while you keep the judgment work
Growth path: as we add practices, this role can grow into a lead biller / billing operations role with more hours — or stay fractional if that's what you want. The flexibility is the point.
WHAT WE'RE LOOKING FOR
- 5+ years of dental insurance billing / RCM (private practice or outsourced billing company)
- Hands-on Open Dental experience strongly preferred (Dentrix/Eaglesoft also valued)
- Deep PPO experience — you know your way around frequencies, downgrades, LEAT clauses, and coordination of benefits
- You've written appeals that got paid, and you can show us one (redacted)
- New England payer familiarity is a big plus, especially Delta Dental of MA
- Comfortable working async with checklists, shared docs, and screen recordings — you'll rarely be in an office
- HIPAA-fluent; willing to sign a BAA and work inside our compliance setup
- Nice to have: AADOM membership or FAADOM, DANB or billing certifications, experience at eAssist / DCS / Wisdom-style remote billing companies
LOGISTICS
- 1099 contractor, hourly, invoiced weekly or biweekly
- 5-15 hrs/wk to start, growing with client count; scheduling is flexible but some hours must fall in payer business hours (ET)
- Fully remote; equipment: your own computer, our systems and phone stack
- Start with the paid audit project — it's real work, real pay, and a two-way fit test
