Job Description

The Dental Treatment Coordinator serves as the bridge between clinical excellence and patient understanding.

This position is ideal for someone who is confident, empathetic, organized, and passionate about helping patients make informed decisions about their oral health. The Treatment Coordinator ensures that each patient feels valued, informed, and cared for, while supporting the doctor and team in maintaining an efficient and productive schedule.

Key Responsibilities: Patient Communication & Experience: -Welcome patients warmly and establish trust through compassionate, transparent communication. -Clearly explain recommended treatments, sequencing, and options in non-clinical language. -Guide patients through the financial and scheduling process, ensuring they fully understand their treatment plan and investment. -Follow up on pending or unscheduled treatment to encourage timely care and strengthen relationships. -Represent our brand with professionalism and a genuine desire to serve.

Treatment Planning & Coordination: -Review treatment recommendations from the doctor and prepare comprehensive plans for presentation. -Verify insurance benefits and accurately estimate patient responsibilities when applicable. -Present payment options and facilitate financial arrangements with confidence and discretion. -Coordinate scheduling to optimize both patient satisfaction and practice productivity. -Track and document all patient interactions and case statuses in the practice management system.

Collaboration & Team Support: -Partner closely with the doctor, assistants, and front office team to ensure seamless patient flow. -Communicate effectively across departments to maintain accuracy and efficiency. -Contribute to daily huddles, team meetings, and patient experience initiatives. -Assist with administrative and marketing tasks as needed and support practice goals with a proactive mindset.

Leadership & Growth: -Demonstrate ownership and accountability for treatment acceptance and patient satisfaction outcomes. -Participate in ongoing training and professional development opportunities. -Maintain a positive, solutions-oriented attitude that supports both patients and team members.

Qualifications (Required): -Minimum 3 years of dental front office or treatment coordinator experience. -Strong knowledge of dental terminology, procedures, and insurance basics. -Excellent communication, organization, and interpersonal skills. -Proficiency with dental practice management software (e.g., Open Dental, Dentrix, Eaglesoft). -High attention to detail and ability to manage multiple priorities.

(Preferred) -Experience in a private or fee-for-service environment. -Proven record of increasing case acceptance. -Bilingual (English/Spanish) a plus.
