Office Administrator and Treatment Coordinator Location: Cornwall, NY Schedule: Monday – Friday (Full-Time)

The Role We are seeking a sophisticated, high-energy professional to lead the administrative and financial operations of our boutique Fee for Service Cornwall Dental practice. This is not a 'receptionist' job—it is a dual-focus role. You will be the Office Administrator responsible for the seamless daily flow of the practice, and the Treatment Coordinator responsible for case acceptance and financial collections.

Note: You will not handle insurance billing or back-end collections; we have a dedicated specialist for that. Your focus is the patient in front of you.

The Compensation Upside We reward performance. In addition to a strong base salary, this role features a monthly cash bonus structure:

Once the practice hits its production threshold, a sliding-scale bonus is triggered.

For every $$$ in additional monthly production, your bonus increases and is paid out at the beginning of the new month.

Because you are the one presenting and closing treatment plans, you directly influence your own monthly earnings beyond your base salary.

Key Responsibilities

  1. Treatment Presentation & Financial 'Closing' Present with Confidence: Take the Doctor’s clinical diagnosis and present it to the patient with clarity and conviction.

Close the Deal: Address patient concerns, explain the value of the procedure, and secure the appointment.

Upfront Collections: Collect all payments at the time of service. You will handle all financial transactions, including processing third-party financing (CareCredit/Cherry).

The FFS Advocate: Expertly explain our out-of-network model, ensuring patients feel comfortable paying upfront while we handle the claim submission for their reimbursement.

  1. Strategic Practice Growth Schedule Optimization: Manage the Doctor’s schedule (Mon–Thu) to ensure maximum productivity without compromising our 10–12 patient-per-day 'boutique' pace.

Active Recall: Utilize Dentrix reports to identify and contact patients with outstanding treatment, re-educating them on their health needs and booking them into the schedule.

  1. General Office Administration The 'Face' of the Practice: Manage the check-in/check-out process with a high level of hospitality and professionalism.

Communication Hub: Handle all phone inquiries and patient correspondence with an 'elegant, patient-focused' tone.

Practice Logistics: Coordinate doctor/staff vacations, maintain accurate day sheets (production/collection/deposits), and ensure patient records are impeccably updated.

Team Synergy: Work with the clinical team to ensure imaging is ready and the patient’s transition from the operatory to the front desk is seamless.

Qualifications Experience: Significant experience in a dental office. You must understand dental terminology and be comfortable discussing high-value treatment plans.

Skills: Proficiency in Dentrix is essential.
