Job Description

Front Desk Coordinator Full-Time · Spring, TX · Champions Pediatric Dentistry

THE OPPORTUNITY The front desk at Champions Pediatric Dentistry isn't just a check-in counter — it's where the patient experience begins. We're looking for a Front Desk Coordinator who understands that the first voice a family hears and the first face they see sets the tone for everything that follows. This is a full-time role in a fast-paced, well-run pediatric dental office in Spring, TX. If you're someone who thrives on keeping things moving, genuinely enjoys working with families and kids, and takes pride in a smoothly run day — we want to hear from you.

WHO WE ARE Champions Pediatric Dentistry is part of the Jon P. Wheeler, DDS practice family — spanning The Woodlands and Spring— built on the belief that every child can learn to love going to the dentist. Our core values drive every decision we make:

Read the Room — we notice what families need before they have to ask. Own the Whole, Not Just Your Part — your job description is the floor, not the ceiling. Protect the Mojo — attitude isn't a soft skill here. It's the job. Make Every Parent a Fan — a child who loves us is great. A parent who tells their neighbors is how we grow. Think Like an Owner — act with the long-term mission in mind, every day.

WHAT YOU'LL DO You're the heartbeat of the front office. You keep schedules tight, families informed, and the team supported — all without breaking a sweat.

Answer phones, schedule and confirm appointments, and manage the front desk flow with efficiency and warmth Greet patients and families the moment they walk in — making them feel expected and welcome Memorize and use phone and in-person scripts effectively to present a consistent, professional experience Present treatment cases to patients and families clearly and confidently Balance credit transactions and provide basic financial support functions Maintain accurate patient records and files in compliance with HIPAA standards Coordinate with clinical staff to keep the schedule moving and the day on track Represent the practice with professionalism and a genuinely positive attitude at all times

WHO WE'RE LOOKING FOR A dental background is strongly preferred. Beyond that, here's what we're looking for:

You're a natural communicator — warm on the phone, sharp in person, and always professional You stay calm and organized when things get busy. Busy doesn't rattle you — it energizes you. You're a team player who looks up from your own tasks to see what the people around you need You take ownership. If something's off, you fix it — you don't wait to be asked You're coachable and consistent. You follow systems, you learn scripts, and you master the details

QUALIFICATIONS & REQUIREMENTS

High school diploma or equivalent required Minimum 3 years of front desk, receptionist, or customer-facing office experience Dental or medical office experience strongly preferred Experience with Medicaid, in-network, and out-of-network insurance billing preferred Bilingual a plus Accurate typing at 40+ words per minute Strong computer skills; ability to learn practice management software HIPAA awareness and professional demeanor in all patient interactions

SOUND LIKE YOU? We move quickly with the right candidates — don't wait.
