Huffman & Huffman, P.S.C. is an established ophthalmology and optometry group serving Kentucky (Harlan, Hazard, London, Lexington, Middlesboro, and Somerset locations) with a tradition of excellence in patient care. We are seeking an experienced Office Manager to lead operations at our Middlesboro location. This is an exciting opportunity to join a supportive, professional team while helping deliver outstanding eye care services to our community.

We are seeking a highly skilled and dedicated Office Manager to oversee the daily operations of our ophthalmology practice. The ideal candidate will possess extensive experience in medical office management, with a strong background in healthcare administration, patient care coordination, and team leadership. This role requires a proactive leader who can ensure efficient clinic functioning, uphold compliance with healthcare regulations, and foster a positive environment for both staff and patients. The Ophthalmic Office Manager will play a pivotal role in maintaining high standards of service delivery, financial management, and operational excellence within our practice.

Duties

  • Oversee daily operations of the Middlesboro office, ensuring efficiency and compliance in all practice areas.
  • Manage scheduling, staffing, and workflow to provide exceptional patient care.
  • Supervise front office, clinical, and optical staff with a focus on teamwork, accountability, and patient satisfaction.
  • Coordinate diagnostic and clinical testing (including A-scans, OCT, and visual field testing).
  • Manage surgery scheduling and support physician coordination with surgical centers.
  • Manage optical shop operations, including inventory, sales, and customer service.
  • Monitor financial performance, patient flow, and practice metrics in collaboration with leadership.

Qualifications

  • Proven management experience in a healthcare setting (ophthalmology or optometry experience strongly preferred).
  • Strong leadership skills with the ability to work independently, motivate, train, and hold staff accountable.
  • Familiarity with ophthalmic testing equipment such as A-scans, OCT, and visual fields preferred.
  • Experience in surgery scheduling and coordination of patient care.
  • Knowledge of optical shop operations, including frame and lens ordering and retail processes.
  • Excellent organizational, communication, and problem-solving skills.
  • Proficiency with practice management software and EMR systems.
  • Knowledge of medical terminology related to ophthalmology is preferred; acute care or hospital experience is advantageous.
  • Proficiency in Microsoft Office Suite for reporting and administrative tasks; experience with patient management software is essential.

Preferred Qualifications

  • 3+ years of management experience, ophthalmology or optometry practice preferred.
  • Understanding of insurance verification, billing, and prior authorization processes.
  • Experience working with both ophthalmologists and optometrists in a multi-provider practice preferred.
