Truly Yours Orthodontics, a boutique orthodontic practice in Prosper, Texas, is seeking a professional, organized, and personable Front Desk Coordinator to join our team.
This position is primarily focused on front desk responsibilities and providing an exceptional experience for our patients and families. The ideal candidate will be friendly, dependable, highly organized, and comfortable managing phones, appointments, emails, calendars, patient questions, and other administrative responsibilities.
This individual will also assist with marketing projects, social media content, community events, and outreach to local dental offices and schools. Experience using Canva is a plus, but it is not required.
Proficiency in Google Workspace, including Gmail, Google Calendar, Google Docs, Google Sheets, and Google Drive, is required.
We are looking for someone with a positive, bubbly personality who can warmly connect with patients while also handling difficult situations with confidence and professionalism when firmness is needed.
Schedule:
Four in office days per week, generally from 8:30 AM to 5:00 PM. The typical schedule is Monday through Wednesday and Friday. Scheduled days may occasionally change to accommodate patients when schools are closed.
Primary Responsibilities:
• Greet patients and families in a warm, welcoming, and professional manner • Answer incoming phone calls, text messages, and emails promptly and professionally • Schedule, confirm, and reschedule patient appointments • Maintain an organized and accurate patient schedule • Assist patients with online forms, payments, insurance questions, and general inquiries • Verify insurance benefits and enter information accurately • Communicate appointment instructions and office policies clearly to patients • Monitor multiple email accounts and organize information appropriately • Maintain and coordinate office calendars, meetings, events, and important deadlines • Provide daily administrative support to the orthodontist and practice team • Maintain an organized, professional, and welcoming reception area • Protect patient privacy and follow all office confidentiality requirements • Assist with additional front office and administrative responsibilities as needed
Marketing Support Responsibilities:
• Assist with maintaining the practice’s social media and marketing calendar • Help record photos and videos for social media content • Assist with creating social media posts, flyers, signs, and branded materials • Use Canva to create or update marketing materials when applicable • Help coordinate community events, school sponsorships, and outreach activities • Assist with preparing marketing baskets, promotional gifts, and materials for local dental offices and schools • Track marketing contacts, events, sponsorships, and follow-up activities • Contribute creative ideas that enhance the patient experience and strengthen relationships within the community
Required Qualifications:
• Proficiency in Google Workspace, including Gmail, Google Calendar, Google Docs, Google Sheets, and Google Drive • Strong organizational skills and exceptional attention to detail • Ability to manage multiple emails, calendars, schedules, and priorities • Excellent verbal and written communication skills • Comfortable answering phones and communicating with patients in person, by email, and through text messaging • Ability to multitask in a busy office environment • Friendly, approachable, and professional demeanor • Strong customer service mindset • Dependable, punctual, and able to work independently • Ability to remain positive and composed while addressing challenging situations confidently and professionally
Preferred Qualifications:
• Previous front desk, receptionist, or customer service experience • Experience working in a dental or orthodontic office • Experience using Canva to create attractive marketing or social media materials • Experience assisting with social media content • Experience coordinating calendars, community events, or marketing projects • Experience creating promotional gifts or marketing baskets for local businesses, schools, or dental offices
