About the Role Job Overview
Truly Yours Orthodontics, a boutique orthodontic practice in Prosper, Texas, is seeking a dedicated and personable Treatment Coordinator to join our growing team. This individual will play an essential role in welcoming new patients, presenting treatment recommendations and financial arrangements, and helping families feel informed and confident throughout the consultation process.
The ideal candidate is organized, detail-oriented, and passionate about providing an exceptional patient experience. Strong communication skills and a positive, energetic attitude are essential. Training for this position will begin immediately. Compensation will include an hourly pay rate plus a bonus for each treatment start.
Days and Hours Monday through Wednesday: 8:30 a.m.–5:30 p.m. (patient days) Thursday: 8:45 a.m.–5:00 p.m. (administrative day) The weekly schedule may occasionally be adjusted to accommodate school holidays and other days when patients are out of school. Advance notice will be provided whenever possible. Key Responsibilities Complete welcome calls for new patients and verify that all patient information is accurate and complete Accurately document the doctor’s clinical findings and treatment recommendations during new-patient consultations Present treatment recommendations, financial arrangements, and estimated insurance benefits to patients and families Guide patients through the contract-signing process and establish appropriate payment arrangements Coordinate treatment starts, initial appointments, and observation visits Send patients copies of their signed contracts, treatment plans, and other required documentation Complete weekly follow-ups with pending patients and families Monitor patient accounts receivable and follow up on past-due or outstanding balances Assist the front desk as needed and help maintain a warm and welcoming environment for patients and families Maintain accurate and complete patient records and documentation Follow all HIPAA, infection-control, and office-safety policies and procedures Qualifications Previous experience in treatment coordination, orthodontics, dentistry, or a related field is preferred Registered Dental Assistant license is a plus but is not required Experience taking consultation records, including photographs, digital scans, and X-rays, is a plus Knowledge of dental insurance benefits and experience presenting treatment and financial arrangements is preferred Familiarity with HIPAA regulations and infection-control practices Proficiency with Google Workspace, including Gmail, Calendar, Docs, and Sheets Excellent organizational skills and strong attention to detail Warm, approachable, and professional demeanor Strong verbal and written communication skills Ability to confidently discuss financial arrangements and follow up with patients regarding outstanding balances Ability to work collaboratively and assist in colleagues when needed
