Practice Manager

Position Summary

Our pediatric private practice is seeking an experienced, organized, and compassionate Practice Manager to oversee the daily administrative, financial, and human resources operations of our office. The Practice Manager will work closely with physicians and clinical staff to ensure efficient practice operations, exceptional patient experiences, regulatory compliance, and the financial health of the organization.

This leadership role requires a proactive professional who is skilled in healthcare operations, staff management, budgeting, and process improvement while maintaining a family-centered approach to pediatric care.

Key Responsibilities

Practice Operations

  • Oversee the day-to-day operations of the pediatric practice.
  • Ensure efficient patient flow, scheduling, and front office operations.
  • Develop and implement office policies and standard operating procedures.
  • Monitor patient satisfaction and resolve service concerns promptly.
  • Coordinate facility maintenance, equipment needs, and vendor relationships.
  • Ensure compliance with HIPAA, OSHA, and other applicable healthcare regulations.
  • Lead quality improvement initiatives and operational workflow enhancements.

Human Resources

  • Recruit, interview, hire, onboard, and orient new employees.
  • Manage employee schedules, timekeeping, and attendance.
  • Conduct performance evaluations and provide coaching and professional development.
  • Address employee relations issues with professionalism and confidentiality.
  • Develop and maintain employee policies and procedures.
  • Coordinate benefits administration and serve as the liaison with benefit providers.
  • Ensure compliance with federal, state, and local employment laws.
  • Manage credentialing and licensing requirements for providers and staff.
  • Foster a positive workplace culture focused on teamwork, accountability, and excellent patient care.

Finance & Revenue Cycle Management

  • Develop and monitor the annual operating budget.
  • Review monthly financial statements and key performance indicators.
  • Analyze practice productivity, revenue, and expenses to identify opportunities for improvement.
  • Oversee accounts payable, purchasing, payroll coordination, and expense management.
  • Monitor billing, coding, collections, insurance reimbursements, and accounts receivable.
  • Collaborate with billing vendors or in-house billing staff to maximize reimbursement.
  • Manage banking relationships and assist with financial forecasting and cash flow planning.
  • Prepare financial reports for physicians/owners and support strategic decision-making.
  • Assist with contract negotiations, vendor management, and cost containment initiatives.
  • Maintain Business, Malpractice, and Cyber Insurances

Leadership

  • Supervise administrative and clinical support staff.
  • Facilitate regular staff meetings and communicate organizational goals.
  • Build collaborative relationships with physicians and healthcare providers.
  • Support practice growth through strategic planning and operational improvements.
  • Lead implementation of new technologies, workflows, and organizational initiatives.

Qualifications

Required

  • Bachelor's degree in Healthcare Administration, Business Administration, Finance, Human Resources, or a related field (or equivalent experience).
  • Minimum of 3–5 years of healthcare practice management experience, preferably in a physician office or pediatric setting.
  • Experience managing human resources and financial operations.
  • Knowledge of medical billing, coding, insurance reimbursement, and revenue cycle management.
  • Strong leadership, organizational, and communication skills.
  • Proficiency with electronic health record (EHR) and practice management software.
  • Strong analytical and problem-solving abilities.

Preferred

  • Master's degree in Healthcare Administration (MHA), Business Administration (MBA), or related field.
  • Certified Medical Practice Executive (CMPE) or similar professional certification.
  • Experience working in a pediatric private practice.
  • Experience with payroll systems, budgeting, and financial reporting.
