Experienced Orthodontic Treatment Coordinator
Job Description
Sweet Tooth Orthodontics & Children’s Dentistry | Rancho Cucamonga
We build smiles that can change the way someone feels about themselves.
We help kids and teens feel more confident. We get to watch families go from uncertainty at the first consultation to excitement when treatment begins, and eventually to the moment they see that finished smile.
That part of orthodontics is pretty special.
But behind every great result is another side of the department that patients rarely see.
The follow-up. The contracts. The financial arrangements. The observation patients. The pending cases. The schedule. The accounts. The family who loved the consultation but never scheduled.
That is where our Orthodontic Coordinator comes in.
We’re looking for someone who can care deeply about the patient experience and also appreciate the analytical side of building a strong orthodontic program.
Someone who can connect with a nervous teenager, confidently walk a parent through treatment and finances, and then turn around and look at a report and immediately notice what needs attention.
You’ll Probably Love This Role If You…
- Love helping people feel confident about moving forward with treatment
- Enjoy building relationships with patients and families
- Like having a department you can truly take ownership of
- Naturally follow up instead of assuming someone else will
- Notice when contracts, balances, schedules, or patient statuses don’t look right
- Enjoy tracking goals and seeing measurable progress
- See problems as something to solve rather than something to hand off
What You’ll Own
- Consultations and treatment presentations
- Financial discussions, insurance, and payment options
- Pending treatment and follow-up
- Starts and case acceptance
- OBS patients and readiness for treatment
- Contracts and patient account follow-through
- Orthodontic scheduling and patient flow
- Tracking and reporting across the ortho pipeline
- Communication between families, the orthodontist, clinical team, and leadership
We want someone who knows the story behind the numbers. Why patients are pending. Where follow-up is needed. What is affecting case acceptance. What can be improved.
A Few Very Scientific Signs You May Be Our Person
- You genuinely love watching a nervous patient become excited about treatment
- You can talk about money without making the conversation feel like it is about money
- An OBS list with missing follow-up bothers you
- You have definitely thought, “How did nobody catch this?”
- You enjoy turning a messy process into something people can actually follow
- You like both people and spreadsheets, which is apparently a very specific personality type
Previous orthodontic experience is strongly preferred but must have experience in the dental field. Strong communication, organization, good judgment, and comfort with technology, insurance, patient accounts, and financial conversations are important.
Monday to Friday | Approximately 8:00 AM to 5:00 PM
No evenings. No weekends.
We offer competitive compensation based on experience, health insurance, PTO, paid holidays, 401(k), training, and professional growth opportunities.
If you want a role that combines people, purpose, problem-solving, and numbers, and you’d like to help build smiles that last a lifetime while also building a stronger orthodontic program behind them, we’d love to meet you.
