Patient Care Coordinator for 2nd practice location. Extra credit if you're cross trained!!
ABOUT THE ROLE You'll be the first voice patients hear and the steady hand that keeps our schedule humming. As an early member of our team, you'll wear a lot of hats — answering phones, booking appointments, and navigating insurance — and have real influence over how we build our patient experience from the ground up. This is a startup environment. Processes are still being built, and we're looking for someone who sees that as an opportunity, not an obstacle.
PHONES & PATIENT COMMUNICATION -Answer calls promptly and professionally. Expertly answer new patient questions. -Respond to voicemails, texts, and portal messages within same-day. -Collect and document new patient demographics and reason for visit. -Deliver a warm, empathetic experience on every interaction. -Manage recall and follow-up outreach for lapsed or pending patients.
SCHEDULING -Book, confirm, and reschedule appointments. -Send appointment reminders via phone, text, and email. -Keep the schedule full and balanced — flag gaps and move waitlist patients. -Learn and help refine scheduling templates as the practice grows.
INSURANCE VERIFICATION -Verify patient eligibility and benefits prior to each appointment. -Obtain and document accurate plan details — deductibles, co-pays, coverage limits. -Identify coverage issues in advance and communicate clearly with patients. -Liaise with payers via phone and online portals; escalate claim questions as needed. -Maintain accurate insurance records in the practice management system
WHAT WE'RE LOOKING FOR -2–5 years in a dental front-desk role. -Hands-on insurance verification experience. -Naturally organized with strong attention to detail. -A self-starter who can figure things out with limited hand-holding. -Genuine warmth — patients should feel taken care of.
