Total Wellness Dental Studio Worthington, Ohio $23 to $26 per hour, based on experience Monday through Thursday, 8:30 AM to 5:00 PM Full-time | No Fridays
About the Position
Total Wellness Dental Studio is looking for an experienced, confident Treatment Coordinator to join our team. This person will play an important role in helping patients understand their recommended care, reviewing financial expectations, and moving smoothly from treatment planning to scheduling.
We are looking for someone who is comfortable discussing treatment and finances with patients while remaining warm, professional, and organized. The right person should be able to explain complex information clearly and empathetically, answer questions, collect payments, and help patients feel confident moving forward with their care.
This is more than a traditional front-desk position. Our Treatment Coordinator must be comfortable managing treatment plans, patient payments, insurance claims, and appeals. Previous dental experience is strongly preferred.
Primary Responsibilities
- Present treatment plans clearly and confidently
- Help patients understand their recommended treatment, insurance estimates, and out-of-pocket costs
- Discuss financial arrangements and payment options with patients
- Collect copays, deposits, and other patient payments
- Schedule treatment accurately and efficiently
- Follow up with patients who have unscheduled treatment
- Send dental insurance claims with the required documentation
- Complete insurance appeals using appropriate clinical narratives, photographs, X-rays, and supporting records
- Review outstanding claims and follow up with insurance companies when necessary
- Greet patients warmly and efficiently manage patient check-in and check-out
- Use patient-management software and electronic health record systems to maintain accurate patient information
- Accurately and efficiently document patient interactions, communications, financial arrangements, and follow-up needs
- Communicate effectively by phone and in person to foster positive relationships with patients and team members
- Maintain accurate patient, financial, and insurance information
- Communicate effectively with the doctor, clinical team, and administrative team
- Help maintain an organized and productive schedule
- Assist with other administrative responsibilities as needed
What We Are Looking For
- Experience presenting dental treatment plans
- Confidence discussing treatment costs and collecting payments
- Experience submitting dental insurance claims and appeals
- Excellent customer service skills
- The ability to explain complex clinical, insurance, and financial information clearly and empathetically
- Strong written communication skills, especially when preparing insurance narratives
- Strong understanding of dental and medical terminology relevant to patient care
- Excellent organization and attention to detail
- A professional, friendly, and calm communication style
- The ability to handle sensitive financial conversations respectfully
- Strong and accurate documentation skills
- Reliability and the ability to follow established systems
- A team-focused attitude with a willingness to help where needed
- The ability to work in a busy dental practice without losing attention to detail
Experience using Open Dental is strongly preferred. A dental background and familiarity with clinical dentistry, dental terminology, common procedures, insurance codes, X-rays, and intraoral photographs are also highly preferred.
Schedule
- Monday through Thursday
- 8:30 AM to 5:00 PM
- Full-time
- No Fridays, weekends, early mornings, or late evenings
Compensation
- $23 to $26 per hour
- Final compensation will be based on relevant dental experience and demonstrated treatment-coordination skills
