About the Role We are seeking a highly organized and proactive Practice Manager to oversee daily operations, engage and manage the team, and ensure the efficiency and growth of our dental practice. This role will serve as the first point of contact for staff, optimize appointment scheduling, manage patient interactions, and ensure seamless coordination between administrative and clinical functions.
What You'll Do • Team Engagement: 1) Lead support, and engage the team to maintain a positive and productive work environment. 2) Act as the first point of contact for staff, addressing concerns and facilitating solutions. 3) Lead the morning huddle 30 minutes before the start of each workday to align the team on daily priorities. • Administration Daily: 1) Oversee and ensure the completion of daily tasks by the team. 2) Manage incoming and outgoing phone calls, delegating referral creation tasks as needed. Weekly: 1) Ensure the schedule is optimized with no gaps to maximize efficiency and patient care. • Patient Communication & Scheduling Optimization: 1) Manage incoming phone calls and delegate insurance-related calls for existing patients 2) Handle new patient inquiries, providing reimbursement estimates and collecting reservation deposits. 3) Ensure doctor schedules are optimized, prioritizing filling gaps and maximizing productivity. 4) Oversee email correspondence, ensuring timely responses and accurate information entry into the EMR system. • Financial: 1) Review incoming mail and categorize accordingly. 2) Reconcile insurance checks with the CEO to ensure accuracy and process payments. 3) Oversee the delegation of insurance claim processing and mail scanning tasks. 4) Manage invoice payments, obtaining directives from the CEO before processing. • Treatment Coordination: 1) Present, review and close treatment plans with patients. 2) Convert treatment plans into scheduled appointments.3) Collect treatment deposits to secure appointments.
What You'll Bring Required: • Qualifications & Skills: • 3+ years working in a dental practice. • Strong leadership and team management skills. • Excellent communication and problem-solving abilities. • Ability to multitask, delegate effectively, and optimize workflow. • Detail-oriented with strong analytical and organizational skills. • Ability to create and oversee standard operating procedures.
