Arlington Dental Building is a privately owned dental practice that has proudly served the Arlington community for over 80 years. We’re looking for a motivated, hands-on Dental Office Manager & Operations Lead who is ready to take ownership of daily operations, lead the front office, and help grow our practice.

This is more than a front desk position. We’re looking for a natural leader who takes initiative, enjoys wearing multiple hats, and wants to make a meaningful impact on the success of our office.

This is an opportunity to make the role your own, bring new ideas to the table, and grow alongside a well-established, family-oriented practice. We want someone who takes pride in their work, finds solutions, and is excited to help shape the future of our office.

What You'll Be Responsible For

1. Office Operations & Leadership

  • Oversee daily office operations and ensure the practice runs efficiently.
  • Manage front office functions, including scheduling, appointment flow, treatment coordination, and patient communication.
  • Maintain productive provider schedules and identify opportunities to improve efficiency.
  • Develop and improve office systems, processes, and procedures.
  • Take initiative in identifying challenges and implementing practical solutions.

2. Team Management & Staffing

  • Lead and support the team while fostering a positive, accountable work environment.
  • Coordinate staffing, scheduling, and coverage.
  • Assist with recruiting, interviewing, hiring, onboarding, and training team members.
  • Establish clear expectations, encourage employee development, and address performance concerns.
  • Lead by example and step in wherever needed to support the team.

3. Administrative & Business Management

  • Oversee administrative functions, including payroll coordination and general office management.
  • Monitor billing, insurance claims, collections, and accounts receivable.
  • Manage expenses, supply ordering, and inventory.
  • Maintain accurate records and ensure compliance with HIPAA and office protocols.
  • Identify opportunities to improve workflows, strengthen collections, and support the financial health of the practice.

4. Patient Experience

  • Ensure patients receive friendly, professional, and personalized service.
  • Build strong patient relationships and maintain a welcoming office environment.
  • Address patient concerns promptly and professionally.
  • Set the standard for excellent customer service throughout the practice.

5. Hands-On Support

  • Jump in wherever needed, from helping at the front desk to resolving scheduling issues and supporting team members.
  • Approach each day with a proactive, solutions-oriented mindset and a willingness to do what it takes to keep the office running smoothly.

Who We're Looking For

  • Experience: Dental or medical office experience is a plus, but we're open to candidates from other industries with strong leadership, administrative, customer service, or operations experience.
  • A natural leader who enjoys taking responsibility and helping a team succeed.
  • Experience with billing, insurance, payroll, or financial administration is a plus.
  • Experience with staff scheduling, hiring, onboarding, or employee management is beneficial.
  • Highly organized, dependable, resourceful, and comfortable managing multiple priorities.
  • A proactive problem-solver who sees what needs to be done and takes action.
  • Excellent communication and interpersonal skills with a patient-first approach.
  • Comfortable wearing many hats and adapting to the needs of a growing practice.
  • Eager to learn, grow professionally, and contribute to the long-term success of the office.

Most importantly, we're looking for someone with an ownership mentality. You don't have to know everything on day one, but you should be motivated to learn, comfortable taking initiative, and ready to make the practice better every day.
