Dental Department Coordinator
Job Description
About the Opportunity
Are you an experienced dental professional looking to step into operational leadership while remaining grounded in patient experience, team collaboration, and community impact?
Our rural healthcare clinic is growing rapidly, and we are looking for a proactive, collaborative Dental Department Coordinator to join our team. We currently operate as a tight-knit, 2-operatory practice with an active, approved building project underway to expand our department to 5 operatories in early 2027.
Because we serve Medi-Cal patients across our community, familiarity with Medi-Cal’s Manual of Criteria is helpful, but it is not required. What matters most to us is your foundational dental knowledge, a genuine willingness to learn and grow, and the drive to become an integral part of an amazing, supportive team.
In this role, you will be the operational anchor of our front office. Working closely with our Dental Director and Practice Manager, you will help scale our appointment workflows, optimize schedules, support compliance and billing, work directly alongside the reception desk, and ensure our community receives accessible, compassionate dental care.
What You Will Do
- Operational Partnership: Work hand-in-hand with the Dental Director and Practice Manager to support daily departmental flow, monitor operational benchmarks, and help establish systems for our upcoming 5-operatory facility.
- Front Desk Leadership & Direct Coverage: Directly support, guide, and work alongside our reception team. Provide hands-on assistance during peak check-in/check-out rushes, intake, and patient phone calls.
- Schedule & Patient Flow Optimization: Oversee provider, patient, and front-desk appointment templates across all chairs to ensure full schedule utilization, smooth access, and minimal downtime or no-shows.
- Compliance & Quality Support: Collaborate with our compliance team on routine dental chart audits, documentation standards, and HIPAA guidelines.
- Billing & Account Coordination: Partner with our billing and revenue cycle team to ensure clean encounter capture, patient ledger resolution, and seamless charge entry (no pre-authorizations require
- Staffing & Recruitment Assistance: Assist management with scheduling front-desk coverage and participating in the interview and onboarding process as our department expands.
- "All-Hands" Collaborative Spirit: Bring an adaptable, team-first mindset—ready to jump in wherever needed on the front-office and administrative side to keep the patient experience seamless.
(Note: This position focuses entirely on front-office operations, administration, compliance, and patient experience; chairside assisting and instrument sterilization are handled by our dedicated clinical team.)
What We Are Looking For
- Experience: 5+ years of hands-on experience in a dental setting (e.g., Lead Dental Receptionist, Front Office Coordinator, Patient Access Lead, or Practice Supervisor).
- Mindset: An authentic willingness to learn, adapt to new systems, and grow into expanded responsibilities alongside our clinic's expansion.
- Medi-Cal Knowledge (Bonus, Not Required): Prior familiarity with Medi-Cal Dental / Denti-Cal guidelines or the Manual of Criteria is a plus, but we are fully prepared to train the right person.
- Dental Operations Savvy: Solid working knowledge of dental terminology, procedure times, appointment block scheduling, and charting standards.
- Team-First Leadership: Strong interpersonal skills, a calm approach to problem-solving, and a dedication to fostering a supportive, low-drama workplace culture.
- Mission-Driven: A genuine passion for expanding healthcare access to rural and underserved populations.
Outstanding Benefits Package
We believe in taking exceptional care of the people who care for our community:
- 100% Employer-Paid Healthcare: Comprehensive Medical, Dental, and Vision coverage with $0 employee premium contributions for you AND all eligible dependents.
- Retirement Plan: 401(k) plan with generous company match.
- Paid Time Off (PTO): 2 weeks of accrued PTO plus recognized clinic holidays.
- Predictable Schedule: Reliable Monday through Friday daytime hours—no evenings, no weekends, no on-call duties.
- Long-Term Career Growth: Non-exempt status (eligible for overtime) with significant leadership potential as our brand-new 5-op facility opens in early 2027.
